It is standard practice in most businesses that employees are not allowed to manage their own email accounts. Rather, the installation and activation of software is handled by security officers, IT staff or line managers. This has the unfortunate consequence that central departments often find it difficult to keep track of the state of the network. So, to enable greater network transparency we have built a management dashboard that allows authorised employees to see which accounts are active, how many licences are being used or are still available, and the associated costs. This results in greater security for an organisation as well as making life easier for the HR and IT departments, as well as the chief operating officer and other board members.

The activation element of the software provides assistance to users and makes it easier to add new employees to the network. From here, we are able to import lists of employees and activate or deactivate accounts. This can also be left in the capable hands of HR (which usually has the most up-to-date records), IT, or security officers, depending on corporate policy.

This tool is particularly valuable once more than 50 people are using the software – although many clients with fewer staff have opted to use it owing to its flexibility, transparency and improved security.
